Description
The Camp Operations Coordinator will need to be both flexible and organized. This position requires strong customer service and communication skills when answering the camp phone and responding to the camp email. They should have a proficiency in computer software, like the Google suite and UltraCamp, or have the ability to quickly master these programs. This position must have a valid US driver's license and active car insurance as a portion of their role will involve trips to replenish camp resources. The Coordinator will also step in to provide support around camp as needed, including Day Camp check-in day every Monday morning starting at 7:45am. Prior experience in summer camp operations is important for success in this role.
Key Responsibilities
Essential Job Duties
- Manage the camp email throughout the day
- Answer the camp phone and return phone messages
- Update staff of daily attendance changes acquired through parent/guardian communications
- Use the camp registration software, UltraCamp, for a variety of tasks including running reports and printing rosters to distribute to the appropriate Unit Leaders
- Continuously update the Emergency Roster Binder throughout the summer
- Provide extra support to Day Camp, especially on Monday mornings and Friday afternoons
- Participate in the check-in and check-out process of each camp session, including early departure sign-outs
- Safely operate a Hidden Villa vehicle for supply runs to a variety of stores within a 20 mile radius of Hidden Villa
- Securely and responsibly use a company credit card to make purchases, obtaining a receipt every time
- Be willing to step into any camp scenario to provide camper supervision
- Work closely with the Director, Program Coordinator and Camper/Counselor Coordinator to create an environment of open communication, trust, and teamwork
- Ability to communicate and work with groups of all ages and skills levels. Provide necessary instruction and communication of safety procedures to staff and campers.
- Ability to observe camper and staff behavior, assess its appropriateness, enforce safety regulations and emergency procedures, and apply appropriate behavior-management techniques.
- Participate in the rotation of leadership staff who fill in for the Health Care Manager when they are on break.
- Participate in Director on Duty shifts
- Live on site for the duration of the summer contract.

- Be the go to person for questions, solutions and concerns held by camper parents/guardians who have reached out through the camp email or camp phone
- Have a strong knowledge of UltraCamp and how to run various reports
- Safely operate a Hidden Villa vehicle for supply runs
- Be a positive force in Summer Camp’s Leadership Team, embodying kindness, openness, initiative, communication, and strong organizational skills
- Use sound judgment to discern when support from the camp director is needed in answering questions from parents and other Hidden Villa departments
- Submit a written report at the conclusion of the summer evaluating the current season and making suggestions for the following season.
- These are not the only duties to be performed. Some duties may be reassigned and others assigned as required.

- Previous camp experience is required
- Strong administrative abilities and computer literacy
- Impeccable customer service and communication skills
- Ability to work autonomously while maintaining a level of organization that allows for multitasking
- High quality professionalism, communication and collaboration skills that demonstrate maturity and respect within our camp community
- Ability to work well in a team environment with little supervision
- Desire and ability to work with youth in an outdoor setting
- Current First Aid and CPR certifications preferred
- Lifeguard certification and ropes course facilitation experience is a plus
- Valid Driver’s License and clean driving record (no major infractions) required
- At least 21 years of age
- Flexibility and patience
- Ability to use given time off to take care of personal needs
Physical Requirements

While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time. Camp can be a high energy environment where noise and stimulus can reach overwhelming levels. While performing duties of this job, the employee is required to regularly stand; walk miles at a time on uneven terrain. The employee must occasionally lift and/or move up to 25 pounds.
Good to Know
Mandated Reporting and Training
Our summer camp staff members are mandated reporters and are required to complete a mandated reporter training. It is possible that a camper will share information or experiences from their homelife that requires Hidden Villa to file a report with Child Welfare Services. This can be upsetting to some individuals and is our legal and ethical duty to report cases of suspected child abuse.
Summer camp staff training is designed to equip our staff with the skills and tools they need to be effective leaders within our camp. At times staff training will focus on complicated topics such as mental health crises, child abuse, sexual harassment in the workplace, and neurodivergent behavior. While staff can take space when needed, participation in all training sessions is required.
