Description
The Property Director is responsible for the care, support and maintenance of all structures, buildings and grounds on the Hidden Villa property. Hidden Villa is poised to move into its centennial year with plans for extensive upgrades and maintenance to the property to fully leverage its extensive programmatic offerings. Long term strategic goals of building Hidden Villa into an example of sustainable and climate/ecosystem conscious facility management are being developed that will require a dedicated and passionate leader to motivate and drive the property team toward these goals.
About the Position
Hidden Villa is a large and varied property with public visitation and multiple educational programs. The Property Director is responsible for managing the property team for the logistical support for the programs and events offered to the community, and for implementing an annual plan for routine maintenance. This is a working manager position and candidates will engage in physically demanding skilled trade work on facilities, equipment, vehicles, trails, landscaping, in addition to desk-based project planning tasks. The Property Director is the key leader in developing a prioritized plan of capital improvement projects for the annual budget process, and ensuring the responsiveness, professionalism and organization of the property department. This position reports directly to the Executive Director and serves as a member of the Tree Guild (leadership team).
Key Responsibilities
RESPONSIBILITIES:
Project Management (30%)
- Prioritize, scope, and schedule all facility needs
- Vet and secure competitive bids for contracted work
- Create and implement regular maintenance plans and timelines for addressing deferred maintenance and upkeep
- Work collaboratively with all budget managers and residents for annual and long term planning with a focus on exploring and upholding sustainability best practices.
- Collaborate with development department to identify property related fundraising needs
- Work in close collaboration with architects and general contractors for site planning and new builds
- Implement a multi-year schedule for anticipated major improvements and replacements
Property, Facility, Utilities & Vehicle Maintenance Supervision (30%)
- Create and maintain accurate records and maps of maintenance and improvement of buildings and structures, and all associated systems (water, septic, gas, electrical, internet cabling, etc)
- Ensure and supervise regular building maintenance, trail maintenance, vehicle maintenance, and septic maintenance
- Ensure and supervise scheduling and response to annual inspections (Santa Clara County Department of Environmental Health, Sprinkler systems, SCC Fire Marshall)
- Supervise property related service providers such as Purissima Irrigation District, Pacific Gas & Electric, Comcast, United Site Services, Waste Management Services, and our janitorial services
- Maintain effective communication with the property team and all staff about work plans, timelines, and changes to scheduled work around the property
- In collaboration with others, develop and support systems for management and sharing of all tools in the shop area.
Risk Mitigation & Management (20%)
- Provide risk management oversight of the property and facilities; enforce OSHA safety regulations and adhere to all local and state regulations as applicable.
- Coordinate emergency action plans with the property manager and keep all staff informed of emergency procedures
- Work closely with local EMS and Governmental Agencies to support evacuations, coordination of resources, local refuge site, etc.
- Ensure and supervise regular emergency equipment inspection, training, ordering and maintenance (AEDs, fire extinguishers, fire hydrants, smoke detectors, CO2 detectors, etc.)
Administration & Supervision (15%)
- Through the adaptation of monthly maintenance schedules, supervise and coordinate the property team, which includes Property Manager and Maintenance Coordinator
- Provide professional development opportunities to the property team
- Manage annual budgeting for Property Team and multi-year/long term capital planning
- Schedule and oversee Property Team work plans
- Attend all leadership and management meetings to strategize, develop, and implement mission related goals.
Community Engagement (5%)
- Engage expertise, partners, and volunteers in trail maintenance, ecological research and restoration as possible
- Support the Development Team with donor cultivation activities
- Supervise Maintenance Coordinator and volunteer groups to accomplish facility projects.
Candidate Qualifications
QUALIFICATIONS:
- 5 years of experience managing staff in a maintenance or construction position.
- 3 years of experience in electrical, plumbing or other construction trades.
- Experience and knowledge of environmentally sustainable technologies.
- Knowledge of safety procedures, codes and OSHA regulations.
- Certification or demonstrated knowledge of maintenance management best practices.
- Ability to prioritize work based on safety needs and programmatic use.
- Effective delegation .
- Ability to maintain performance and good attitude under pressure or during stressful situations.
- Continually strive to complete projects on time and within budget constraints.
- Computer proficiency including email correspondence, document formatting, web-based applications, project management applications and Google suite.

- Current valid driver’s license and clean driving record required.
- Must possess excellent communication and organizational skills.
PHYSICAL REQUIREMENTS:
- Regular and consistent attendance and the ability to sit and work with hands and arms for at least eight (8) hours per day and five (5) days per week.
- Physical ability to stand, reach, bend, kneel, stoop, climb, walk, crawl, push, pull, and lift items weighing up to 50 pounds.
- Ability to work overtime occasionally at the last minute.
- Ability to coach and provide guidance to Property team members and other coworkers.
Terms of Employment
This position is a full-time, exempt position. The compensation for this position is $95,000 per year. This position is fully benefited, including paid time off, health insurance and retirement. All applicants will be required to complete a background check and Live Scan fingerprinting before hire. Due to the nature of Hidden Villa’s operations, work hours may vary. Occasional weekend and evening work may be required.
